It was 2:10 a.m. when the text came in from the night-shift supervisor: "Conveyor 3 is down. Coupling sounds like it's full of rocks."

I've handled maintenance procurement for a mid-sized aggregate operation for six years. But this story isn't really about the 2 a.m. call. It's about the decision we made the next morning — and why Henry White refuses to "play the game" when it comes to replacement parts.

Henry is our senior maintenance tech. Here's the math that actually matters. If we had bought the genuine Rexnord coupling on day one, our total cost would have been about $2,790 — $2,700 for the parts plus freight. The stockpile covered the extra delivery day, so there was no production penalty.

Instead, we paid $1,800 for a part we later concluded was counterfeit, and then $34,830 to fix what it broke. Net cost of that decision: roughly $33,840.

That's what I mean by total cost of ownership. It's not just the price on the PO. It includes emergency freight, overtime labor, lost production, damaged components, and the credibility you lose with your own maintenance team. The $900 "saving" was the most expensive part of the project.

Everything I'd read up to that point said you're paying for the logo. My experience now says the opposite: the logo is the cheapest part of the purchase.

Regal Rexnord Corporation, the parent company of the Rexnord brand, is a publicly traded company listed on the NYSE under "RRX." That matters because Rexnord's published specifications, service factors, and installation manuals are part of the product. The Regal Rexnord company logo on a box is a signal that somebody is accountable for what's inside. The part we received had none of that.

If anyone asks me how to avoid this mistake, I tell them the same thing Henry told me before I signed: go look at the box. If it doesn't have the Regal Rexnord company logo, you don't have a Rexnord part.

Our Pre-Purchase Checklist Now

After that failure, I made a checklist for any Rexnord part we order. It's short, but it would have saved us $33,840 that week:

  1. Check the packaging and the product for the Regal Rexnord company logo. It should be on the box, the hubs, and the stamped part number. Missing is not a minor detail.

  4. Calculate TCO, not PO price. Downtime, freight, labor, and risk usually dwarf the difference between quotes.

To be fair, not every independent seller is a counterfeit operation. Some are legitimate surplus dealers. But you can't tell by looking at a website, and the cost of being wrong is higher than the savings.

So why isn't Henry playing the cheap-parts game anymore? Because he learned this lesson thirty years ago. I'm just the one who had to pay to learn it again.

Bottom line: if you're buying Rexnord couplings, chain, or bearings, buy from an authorized distributor. Check the logo. Check the entity. Do the math on the whole lifecycle, not just the invoice. It's the cheapest insurance you'll ever buy.
