Common Mistakes to Avoid
I coordinate maintenance for a mining operation, and I've handled maybe 40 rush orders for Rexnord components in the last few years—probably closer to 35, I'd have to check the work orders. Most were the same story: a conveyor drive coupling or chain was down, the plant was losing money, and I needed a part fast.
This is a working checklist, not a generic marketing post. It assumes you're replacing a Rexnord component—coupling, roller chain, bearing, or gear drive—and you need it now. It also assumes you want the replacement to last longer than the emergency.
1. Pull the Full Nameplate Data Before You Call Anyone
When I first started coordinating replacements, I assumed the fastest way to get a part was to call the closest distributor and give them a "make and model." A $30,000 shutdown later, I understood why the exact spec matters more than the part name.
Write this down before calling:
- Full part number from the coupling hub, chain, or bearing (not just the series)
- Bore sizes and keyway dimensions
- Spacer hub type
- Motor/driven RPM and horsepower
- Any build code or date stamp
You need the same part number. What I mean is the full part number—Rexnord often adds a suffix for bore, spacer, or finish. "It's a 1020 chain" isn't enough; the same series can have different pin lengths or bore options.
2. Determine Whether Your Part Is a Stock Item or Built to Order
Rexnord has a broad catalog, but not every part sits on a shelf. Large gear couplings and engineered drives are often built to order. If you need a stock item, you can move fast. If it's built to order, you're looking at lead time no matter what.
Ask each distributor two questions: Is the part in stock? If not, what is the factory lead time? Compare those answers before you talk shipping.
This is where speed and quality can conflict. To be fair, some non-critical positions can use a non-factory sourced part and run fine. But our policy is: anything above 100 hp, or in a position where failure would stop the line, gets factory-authorized. The $200 saving isn't worth the $20,000 downtime if the replacement is wrong.
3. Verify Real Inventory at Multiple Rexnord Locations
Don't trust a single distributor's online inventory. Call around. At least, that's been my experience with standard couplings and chain—the system often doesn't show what's actually on a dock.
In our region, I've had good luck with the Regal Rexnord East Aurora location for coupling spares. For roller chain, a smaller Rexnord Indiana service center once had stock that the national warehouse couldn't see. Never expected that. Turns out they keep a separate stock of high-usage repair parts.
Ask for a confirmed ship date in writing. "I should be able to get it" isn't a ship date. An email with the part number and a carrier tracking number is what counts.
If the part is coming from East Aurora or Indiana, ask whether will-call pickup is faster than freight. If you're within a few hours of either location, a truck roll can cost more than the part—weigh that before choosing.
4. Match the Part to the Application Torque—Not Just the Size
Matching the shaft size isn't enough. A coupling that fits may have a lower torque rating than the original, especially if you're replacing a unit in a high-service-factor application.
According to Rexnord's published coupling engineering guidelines, the correct selection depends on service factor, prime mover, and driven load. That's why the same coupling series can have different hub and spacer ratings.
If you don't have time for a full design review, at least compare the part's rated torque to the original equipment's spec. If the replacement is close but not exact, talk to a Rexnord application engineer before installing. This is the step most people skip, and the one that causes repeat failures.
5. Nail Down the Delivery Date and the Logistics Details
When I'm triaging a rush order, the first question I ask is: what is the exact cutoff for same-day or next-day shipment? For our freight rep, any order confirmed before 2:00 PM CT can ship same-day. That's not universal—confirm it.
Then ask about the truck. A 200 lb coupling still goes LTL. Is there a liftgate? Is someone going to be available to unload? Does the delivery address have access for a semi? We paid for a dedicated truck once because the nearest terminal was 50 miles away and the driver refused to run the road.
In January 2024, 36 hours before a scheduled shutdown, we found a Rexnord gear coupling at East Aurora, but it needed an LTL truck to a mine site 11 hours away. We paid extra for a dedicated truck. It hurt. The alternative—an extended shutdown and a $50,000 penalty clause—hurt more.
Also check the packaging. Hubs and chains can arrive with damaged keyways if freight isn't secured. If the package shows damage, photograph it before opening.
6. Verify the Replacement Against the Old Part Before You Install
When the part arrives, measure it before you remove the old component. This sounds obvious, but in a rush, it's tempting to throw the new part on. Measure bore diameter, keyway width, and spacer length. Compare them to your Step 1 notes.
Honestly, I'm not sure why packing slips sometimes don't match what's in the box. My best guess is that mixed stock at branch warehouses causes mislabeling. Whatever the reason, verify.
Check the installation torque spec from the Rexnord manual before alignment. If you're in a hurry, you might think "just tighten until it feels right" is fine. It's not. Coupling bolts and chain tension have published values for a reason.
Keep the old part until the new one is verified. That way you have a reference if something doesn't fit. I know of one crew that scrapped the old coupling the same morning the new one came in—and the new one was a different bore.
Common Mistakes to Avoid
I have mixed feelings about aftermarket parts. On one hand, they're cheaper. On the other, the cost of fitting something designed with different tolerances can wipe out the saving. I compromise by using non-factory parts only in low-risk positions—never in the main drive.
Other mistakes I've seen, and made:
- Buying from a non-authorized source because the price is lower. A replacement that fails reflects badly on your team. The first impression of a supplier is whether the part fits correctly.
- Forgetting soft parts: key stock, bolts, grease, and gaskets. The hub arrives but the key doesn't fit. Now you're waiting one more day.
- Not rechecking the drawing revision. Rexnord changes part numbers over time. The old number in your CMMS might have been superseded by a newer design that isn't an exact visual match.
- Same-day freight to a site without a forklift or dock. If you can't unload, the clock keeps running.
The main lesson: when the clock is running, the cheapest quote is rarely the cheapest outcome. The extra 20 minutes you spend verifying the full part number and a confirmed ship date is what saves the project.
