Mistakes I Still See
I'm a quality compliance manager at an industrial powertrain distributor. I review every Rexnord-related order before it goes to a customer—roughly 200 items a year. In Q1 2024, I rejected 14% of first deliveries. Most of those rejections were for things a five-minute check would have caught.
This is the checklist I use. It covers Rexnord couplings, industrial chain, conveyor belts, and bearings—the components that keep a plant running. If you're a procurement lead, an OEM buyer, or a maintenance supervisor, run this before you sign off on the next shipment.
Before You Start
You need three things in front of you: the purchase order, the OEM drawing or catalog page, and the physical part. Do not do this from memory. Every 'same spec' disaster I've seen started with someone's confident memory.
The 12-Point Checklist
1. Verify the full part number, not just the line item
The purchase order says 'Rexnord coupling.' That's not a part number. The full designation includes series, size, bore, hub arrangement, and modifiers. I've seen orders approved with the wrong bore because someone checked the brand and stopped.
Check the manufacturer's revision level too. Rexnord FlatTop Europe S.r.l. and Regal Rexnord Stuarts Draft VA plant both use codes that look similar but can differ by a single digit. That digit can change the mounting dimensions.
2. Check packaging before you open it
A crushed box doesn't automatically mean a damaged part, but it's the first warning. Look for signs of moisture, oil staining, or impact. On zinc-plated fasteners and unpainted surfaces, look for white rust—that fine white powder that means moisture has been sitting there. Not a cosmetic issue if it's on a mating surface.
Photograph the outside of the box before opening. It takes two seconds and wins arguments later.
3. Measure the bore and keyway—don't trust the tag
The adhesive label says 1.500'. The micrometer says 1.498'. Reject it. This is the most common reason a Rexnord gear coupling or disc coupling doesn't fit on site.
I learned this the hard way. I once assumed that a 'same part number' from a secondary source meant the same bore. I didn't verify. The part we installed was 0.002' too small, and the rework cost us a week and a $22,000 full stop. Now every contract includes bore dimensions to be verified at incoming inspection.
4. Inspect flex elements and elastomer parts
For disc couplings: check for scratches, nicks, heat discoloration, and edge cracks. For elastomer couplings: look for swelling, hardening, and surface cracks. A flex element that looks slightly off will fail sooner, and it won't be a smooth failure.
5. On conveyor chain and modular belt: check pitch and pin retention
If the order includes Rexnord FlatTop Europe S.r.l. conveyor chain or modular belt, don't just count links. Verify the pitch with a caliper across ten links. A 1% pitch error adds up fast on a long conveyor.
Most people ignore pin retention. Hinge pins that walk out stop a line the same way a failed gearbox does, but they're much cheaper to prevent. Look for proper pin ends, staking, or whatever the OEM specifies.
6. Verify lubrication spec before anything gets greased
Gear couplings and many industrial chains have a specific lubrication requirement. 'Grease is grease' is a reason I reject parts before they ever see a motor. A power-hungry coupling will run for a while on the wrong grease—until it won't.
Check the OEM manual for the exact viscosity, NLGI grade, and frequency. Write it on the work order. Don't rely on whatever is in the grease gun.
7. Inspect fasteners and torque markings
Bolt heads should have grade markings. No markings, no approval. If the coupling is installed with a torque sequence, verify the plan before installation—not after. I've rejected first deliveries where the fasteners were the right size but the wrong property class.
8. Confirm balance requirements
If the Rexnord coupling was ordered with a balance specification, check for the balance report or marking. A coupling that is balanced at the factory can still be unbalanced after disassembly and reassembly. If you see no evidence of balancing, ask for the report before sign-off.
9. Review the certificate of conformance
The COC should match the part: same part number, same quantity, same heat number or traceability code. I'm not 100% sure every COC gets read, but it should be. A vendor once sent a COC for a batch that didn't match the actual heat numbers on the crates. Worse than expected.
For special-purpose couplings in petroleum or chemical service, an API 671 inspection and test record is a requirement. A packing slip is not that.
10. Compare against the engineering drawing, not the sales drawing
Catalog drawings are for selection. The engineering drawing in the approval package is for manufacture. They can differ in tolerances, surface finish, and material. I've seen people check a part against a catalog and approve it, only to find it didn't meet the drawing tolerance. A lesson learned the hard way.
11. Let the part stabilize before dimensional inspection
If the part arrives on a truck in the middle of January, don't measure it in a heated warehouse after an hour. Metal moves with temperature. Let it come to room temperature—steel parts usually need a few hours—then measure.
12. Photograph and archive before sign-off
This is the step most people ignore. The part might be perfect, but if there's no photo record, it's your word against the freight carrier. Photograph the part, the part number stamping, and any discrepancies. If you don't photograph it, it didn't happen.
Mistakes I Still See
First, treating the packing slip as inspection. A packing slip says what was sent, not what was found.
Second, substituting aftermarket parts without verification. To be fair, some aftermarket parts are excellent. But a no-name flexible element is not necessarily the same as a Rexnord flex element, even if the bolt pattern matches. I saved $1,100 once on a substitute disc. The downtime after it failed cost us close to $14,000 in lost production.
Third, skipping the final photograph because the order is behind schedule. The 10 minutes you don't spend documenting are the minutes you'll spend explaining later. 5 minutes of checking beats 5 days of correction.
Checklist is the cheapest insurance you can put on a purchase order.
That's the checklist. It isn't the full OEM procedure, and it won't replace a trained inspector. But it will catch most of the issues I see every year, and it should help you avoid the expensive kind of surprise.
